As your campaign lead, I’ll be sharing updates and quick stories about how our collective support transforms real people in our community. Throughout the campaign, I’ll be sharing 5 Reasons to Give. Here’s the first one:
Reason #1: Your gift tackles our region’s toughest challenges.
Right now, more of our neighbours across Ottawa, Prescott-Russell, Lanark County, and Renfrew County are struggling with the rising cost of living, housing instability, and mental health challenges.
That’s where United Way comes in. Every day, United Way works alongside local agencies and partners to help people facing immediate crisis while building long-term solutions for a stronger future.
Did you know
- Thanks to workplace giving campaigns like ours, United Way invested in 100 programs and 76 local initiatives last year, helping 89,662 people across our region. See more in their annual report here.
When you give through [Workplace], 100% of your local impact stays right here in our community. United we can tackle the tough issues.
I invite you to join us as we get ready to launch. Stay tuned for Reason #2!
With Thanks,

Today is the day!
I’m excited to officially launch [Workplace]‘s United Way East Ontario campaign. Today, you can join your colleagues in making meaningful change right here in our community.
Last week, I shared our first reason to give: helping tackle our community’s toughest challenges. Here is Reason #2:
Reason #2: Everyone deserves a safe place to call home.
Housing instability and homelessness are among the most urgent crises in East Ontario. Your support connects people with emergency shelters, transitional housing, and wrap-around care that prevents homelessness and builds long-term stability.
Here is what your gift can do:
💙 $20 a month or $240 a year provides new shoes, clothing, and other essentials to help a young person secure and maintain employment.
💙 $80 a month or $960 a year covers transportation costs for people attending mental health care sessions, helping them focus on recovery without sacrificing basic needs.
💙 $200 a month or $2,400 a year helps a young person leave transitional housing by furnishing their first apartment.
You can easily spread your contribution through payroll deductions or monthly credit card payments. Making a meaningful impact year-round for just a few dollars a paycheque.
Whether you are new to [Workplace] or have supported United Way for years, your participation helps transform lives.

Our United Way East Ontario campaign is well underway! A big thank you to everyone who has already made a gift, attended an event, or taken the time to learn more about our impact.
Today, I’m sharing Reason #3 to Give: Your support connects people to the help they need, when they need it most.
Did you know:
- 26% of people in Ontario report their mental health as poor or fair.
- 1 in 3 students in Ottawa and rural East Ontario wanted mental health support but didn’t seek it out.
- Ottawa police calls for suspected overdoses increased by 120% between 2022 and 2024.
When life gets overwhelming, timely support changes everything. Your donation powers accessible mental health and addictions services, helping youth and adults regain stability, build resilience, and move forward with hope.
United we can ensure people get the support they need, when they need it.

Thank you to everyone who has supported our United Way East Ontario campaign so far! The enthusiasm across [Workplace] has been incredible, but our work is not done yet.
Today, I’m sharing Reason #4 to Give: Seniors and caregivers deserve connection and support.
No one should feel isolated or forgotten. Yet many seniors face quiet loneliness, while family caregivers often sacrifice their own health to care for their loved ones. United Way powers local social programs that keep seniors active and independent, while supporting caregivers with much-needed respite care.
For local seniors like Marsha and caregivers like David, connection and these programs are a lifeline.

Subject Line: Continuing your legacy of care with United Way’s Tomorrow Fund
Suggested timeline: 1 to 2 weeks before campaign launch, mid-campaign, or as part of retirement transition communications
Body Copy:
Hi [FIRST NAME],
As you prepare for your upcoming retirement, I wanted to take a moment to personally thank you for everything you have contributed to [Workplace], and to our local community.
Throughout your career, your support of our United Way East Ontario workplace campaigns has helped tackle our region’s most pressing challenges. Because of your generosity, local families, isolated seniors, youth, and neighbours in crisis across Ottawa, Prescott-Russell, Lanark, and Renfrew County have received vital support when they needed it most.
As you look ahead to this next chapter, you can continue to support the people and causes you care about long into the future through Planned Giving and United Way’s Tomorrow Fund™.
What is planned giving?
Planned giving lets you make a meaningful contribution aligned with your personal, financial, and family goals. Most often, this means leaving a gift in your will, but it can also include donations made through your estate, life insurance, registered securities, or retirement funds.
Why consider a legacy gift as you transition to retirement?
- Zero impact on your finances today: A gift in your will costs nothing during your lifetime, ensuring your financial comfort today while creating a powerful impact tomorrow.
- Support your family AND your community: You have more power to make an impact than you realize. Leaving just a small portion of your estate—such as 5%—allows you to make a transformative gift to your community while keeping 95% of your estate intact for your loved ones. (For example, a 5% gift from an $800,000 estate provides $40,000 directly to changing local lives).
- Address root causes long-term: Gifts to the Tomorrow Fund™ ensure that United Way can continue tackling the root causes of systemic local issues for future generations.
- Stay connected as a retiree donor: Like many long-time supporters, you can maintain your connection to our workplace’s culture of giving throughout your retirement years.
👉 Explore your legacy options: Check out the attached [Retiree & Planned Giving Guide] or Learn more about the United Way East Ontario Tomorrow Fund™ to see how simple it is to leave a gift in your will.
Thank you once again for your dedication, your leadership, and your steadfast commitment to our community. Your legacy will continue to shape our region for generations to come!
With deep gratitude,
[YOUR NAME]
[Workplace] Campaign Lead
P.S. Leaving a planned gift is a powerful way to carry your personal values forward.

Lottery License
Many Campaign Leads choose to implement charitable gaming activities as part of their overall campaign. These fun add-ons can create excitement during your campaign.
To implement these gaming activities, you may need to seek approval from Ontario’s AGCO. This process is not difficult, but it does require some preparation in advance. Your United Way team member is here to support you through this process. Get in touch through: workplace@unitedwayeo.ca
Below we have provided some tips on how to know when you need a license and the steps to take to secure one.
The first question to answer is whether you need to apply for a license from the AGCO. In general, organizations must secure a charitable gaming license for:
- Raffles: If you are giving cash prizes through a 50/50 raffle, or selling tickets for people to win prizes, you need to apply.
- Bingo: If you are running a traditional bingo game, where people can buy cards and win prizes based on playing the game, you need to apply.
- Gambling events/tournaments: If you are hosting a traditional black-jack tournament, an organizational poker league, or other casino-style event, you should apply. Note: The AGCO may not approve certain forms of gambling activities. As a result, you may wish to develop a “plan B” in case your activity is not approved.
You do not have to apply for a charitable gaming license for these activities:
- Events with door prizes: You don’t need a license if you are hosting an event and offering a door prize to a randomly selected attendee.
- Publicity contests: You can run a publicity contest to generate interest in your event or activity. These initiatives do not require a charitable license if there is no paid requirement to participate and all participants have an equal chance to win the contest. You may need to register your publicity contest with the Regie des jeux if it is implemented in Quebec.
- To be sure about whether you need a license, you can contact the AGCO directly through their website or reach your United Way team member. If you do not know who your United Way team member is, please reach out to us at workplace@unitedwayeo.ca
If you have selected an activity that requires a license, simply complete the following steps. You should begin this process as soon as possible. Note that your application may take 4-6 weeks for final approval.
- Email your United Way team member, indicating that you wish to apply, by emailing workplace@unitedwayeo.ca.
- Email the City of Ottawa By-Law Service Assistant at lottery_loterie@ottawa.ca. Provide your event details. (See below for a sample message with the info this email should include).
- Download and fill in the form from the AGCO. There is a separate form for bingo events, and another for raffle/lottery events.
- Please sign the form. Two members of your organization will need to provide their signatures.
- If you need help with the calculation, you can contact the Gaming Registration Officer at 1-800-522-2876.
- The City of Ottawa will send you written permission. United Way will send you our letter of agreement.
- With these documents in hand (City of Ottawa’s letter, United Way’s letter, and your AGCO forms) you are ready to submit online!
- Create an online account with the iAGCO
- Attach and submit your application following the iAGCO prompts.
- Pay the license fees. License fees are generally 3% of the prizes that you expect to award, and can be paid online by Visa, MasterCard, Interac Online, Visa Debit, or MasterCard Debit. More information is available on the AGCO website.
- The AGCO will process your application and send you your approval. With this, you can proceed!
- 30 days after your event, you must submit a report. Here is the pdf report for bingo events, and here is the report for raffles.
Though it can seem daunting at first, the process above is simpler than it looks.
Please know that your United Way contact is here to help you at any stage of your application. Please reach us anytime if you have questions or concerns. As mentioned above, you can email us at workplace@unitedwayeo.ca to get help or ask questions.
Here is a sample email you can send Amberine Graham at the City of Ottawa to get the process started (see the checklist above):
Hello Amberine,
I work at (Organization) and am reaching you today as we wish to run a contest as part of our United Way campaign activities this year.
Our event is being hosted at our office location at (street address) between the dates of (start date) and (end date). Our event will be a (raffle/lottery/bingo/other) and we will invite our employees to participate. Tickets will be sold (in person or on-line) in advance as soon as we have received approval to proceed from the City as well as the AGCO.
Can you please let me know if you need more information or have any questions? Thank you.
Sincerely,

Engage your team and learn more about your community by participating in one of the interactive and educational engagement activities listed below.
Hosting a virtual or in-person speaker is a great option to help colleagues learn more about United Way. These speaking opportunities are easy to book and can take place at any time with groups of any size.
A United Way speaker will take you through the story of a community expert or a person who has received support. This could be someone who was able to access mental health services when they needed it, built a more stable life after experiencing homelessness, or found a job that matched their skills thanks to United Way and its partners.
You can choose how you want to share these stories with your team:
Either in person or virtually.
Speakers can be selected for specific topics, social issues, and/or their personal stories.
You can incorporate our United Way trivia or polling exercise.
You can set the tone. Simply let us know if you would like a speaker that is light-hearted and fun, or someone with a heartfelt story of personal change.
Regardless of the speaker or topic you choose, everyone will leave this experience with a greater appreciation of how they’ve helped their community. The time needed for a speaker is generally about 10-20 minutes and we require 3 weeks to line up and book an in person speaker.
To learn more or ask questions about this, you can contact your United Way team member at workplace@unitedwayeo.ca

Wrap-up and say thank you
Now that you’ve come to the end of your campaign, you should celebrate your achievement, thank your supporters, and set yourself up for success next year.
Follow these steps to ensure the perfect wrap-up:
All money received through your workplace campaign should be collected, counted, and remitted on a regular basis and in adherence with United Way’s policies regarding financial best practices.
Should you have any questions, don’t hesitate to get in touch with your United Way team member or email us.
Send payroll pledges to your HR Team or Benefits Administrator. If you used a United Way website or United Way pledge forms during your campaign, you would need to let your payroll administrators know who made gifts by payroll deduction. Your United Way team member can help you find and prepare this list. This is personal data, so remember to keep this information confidential when sending it to your designated payroll colleagues internally.
Coordinate the collection of paper and PDF pledge forms for United Way. Ensure all physical and digital forms are submitted to United Way to guarantee that donations are allocated according to donors’ wishes. Your United Way team member will arrange to have someone come by your office to pick up these forms at a convenient time and date that is convenient for you. Please avoid sending these via email, as it is not completely secure.
Later in the year, your United Way team member will share impact information with you that shows the number of people who received support thanks to you and your colleagues. Pass this along to your organization, so everyone can be proud of making a difference.
Write thank you notes. You or your United Way team member can help arrange thank you notes for everyone that gave. Sending a personal note of thanks is a great touch and will make donors more likely to give again in the future.
